Rental Policy
and Agreement

Rental Periods:

Our standard rental period is from Friday to the following Monday. Customer pickups must occur on Friday, 10am-5pm, with returns Monday, 9am- 3pm. We can accommodate special arrangements if needed, please contact us with any special requests.

Rental Options:

  • Our rental system is designed primarily for customer pickup & return only: Rental prices are for local pickup on Fridays and drop-offs on Mondays during our stated hours. Please check each item's description for specific vehicle and manpower needs. All items are packaged in transport cases that allow for customer pickup, and may require 2-3 people for larger, heavier items. Please ensure you have a secure and sheltered location for any items you may need to store before or after your event. 

  • We do offer limited delivery services. Please contact us prior to booking if you will need any items delivered to check availability and pricing.​

​​Important Considerations for items you pickup and return:

​

  • Transport: Many items are large so be sure you have adequate space to safely and securely transport items to and from our warehouse. Items are packaged in protective cases but can be easily damaged in transport.

  • Storage: Please ensure you have a secure, indoor location free from inclement weather for any items that need to be stored before or after your event. Items should not be left outside overnight, as weather can change unexpectedly, and heavy dew can cause moisture damage.

  • Setup and Teardown: We will provide instructions at pickup. Be sure you have all the necessary manpower to properly setup and teardown each piece as listed in the item descriptions.

​Rental Agreement

​

I. Rental Requirements & Booking

 

  • Age Requirement: The Renter must be at least 18 years of age and possess a valid government-issued photo ID.

  • Booking & Payment: All reservations require full payment (including the rental fee, any applicable delivery fee, and any required damage deposit) at the time of booking to secure the items and dates.

  • Personalization: Customization (decals, etc.) is an add-on service. The Renter agrees to the final design proof before fabrication begins. Changes requested after final approval may incur additional fees.

  • Waiver: The Renter assumes all responsibility and liability for any injury, accident, or property damage that may occur to any person or property while the rental items are under the Renter’s possession.

 

II. Item Pickup, Return, and Logistics

 

  • Standard Service (M-F): The primary service model is customer Pickup (P/U) and Return (R/N) at the Owner's workshop located near Hartford, SD.

  • P/U/R/N Hours: All P/U occur between 10am and 5pm on Fridays, and R/N occur between 9am and 3pm on Mondays

  • Late Return Policy: A grace period of 30 minutes may be granted if notified in advance. Items returned late without notification will incur a penalty equal to one full day’s rental fee for every day or portion of a day the item is late. This fee is non-negotiable and will be deducted from the damage deposit or charged directly.

  • Vehicle & Transport Requirements:

    • The Renter is responsible for securing the appropriate vehicle for transport.

    • The Renter must adhere to the Transport & Setup information provided in each item's product description. This includes providing the necessary number of people (2+ for heavy items) and a large enough vehicle (pickup truck, large SUV, or trailer).

    • The Renter agrees to package and secure all items in the provided custom crates and bags for both P/U and R/N.

 

III. Damage, Loss, and Cleaning Policy

 

  • Condition of Items: All items leave the workshop in excellent condition. The Renter agrees to inspect the items upon P/U and report any defects immediately.

  • Damage/Loss: The Renter is responsible for the rental items from the time of pickup until the time of return. The Renter agrees to pay for any damage, loss, or breakage that occurs during the rental period.

    • Minor repairable damage may incur a repair fee (parts + labor).

    • If an item is damaged beyond repair or lost, the Renter will be charged the full replacement cost (not the rental fee).

  • Cleaning: Items must be returned reasonably clean (e.g., free of excessive mud, food residue, or major spills). Failure to return items reasonably clean will result in a minimum $50 cleaning fee, deducted from the damage deposit.

    • Tap Wall: Tap walls must be returned thoroughly rinsed according to the provided instructions to avoid beverage residue hardening inside the lines. Failure to do so may result in a specialized cleaning/repair fee.

 

IV. Financial Policies

 

  • Security Deposit: A refundable security deposit may be required on select high-value items. This deposit is held to cover incidental damage, loss, or late fees.

    • The deposit will be refunded within 7 days after the rental item is returned, inspected, and confirmed free of damage or late fees.

  • Refund Policy (Cancellation):

    • Cancellations made [Specify time, e.g., 30 days] or more before the rental date will receive a full refund, minus a [Specify amount/percentage, e.g., $50] administrative fee.

    • Cancellations made between [Specify time, e.g., 7 and 29 days] before the rental date forfeit the damage deposit but will receive a refund for the rental fee.

    • Cancellations made less than 7 days before the rental date forfeit all payments made.

  • No Refunds for Early Return or Non-Use: No refunds will be issued for items returned early or for items that the Renter chose not to use.

 

V. Inclement Weather Policy (Outdoor Use)

 

The Renter assumes all weather-related risks.

  • Rain/Moisture: Rental items (especially electronics, marquee lighting, and custom wood/PVC items) are generally not guaranteed to be fully waterproof and must be protected from direct rain, snow, or extreme moisture.

  • Wind/Storms: The Renter is responsible for monitoring weather forecasts and ensuring items are secured or removed to prevent damage from high winds.

  • No Refunds Due to Weather: DPR Event Rentals does not offer refunds or credits if the Renter cancels due to inclement weather or if the items cannot be used or must be moved indoors due to weather conditions.

  • Risk Mitigation: The Renter agrees to cover and/or store the items in a dry, safe location immediately if inclement weather threatens the event.

 

VI. Customization and Use

 

  • Any decals placed on any rental items other than by us is strictly prohibited. Any damages resulting from decal removal form customer placed decals will result in forfeiture of damage deposit and additional fees if necessary to cover costs of repairs.

  • Decal Removal: The Renter agrees not to attempt to remove or alter any pre-affixed custom vinyl decals. Damage resulting from the removal attempt will be charged to the Renter.

  • Purpose: Rental items are intended for decorative use only. The Renter agrees to use the items safely and for their intended purpose only. Renter agrees to use care when handling, transporting, and using rental items to prevent damage.

The Renter acknowledges that they have read, understand, and agree to the terms and conditions of this Rental Agreement.
